Overview of Ayora Manage
Ayora Manage helps users monitor live matters, understand financial and operational performance, and take action before issues become harder to resolve. The dashboard is the main surface for reviewing matters, clients, partners, and matter groups. From there, users can inspect WIP, budgets, billing, realisation, risk indicators, and recent matter activity.
This article starts with the dashboard because it is the primary way to work in Ayora Manage. It also explains how the Flagged and Monitored tabs, matter actions, and the Ayora Manage Agent support the same matter management workflow.

Before You Start
You need access to Ayora Manage. What you see in Ayora Manage depends on your role and the matters available to you.
Dashboard column labels can be customised by organisation or user settings. Where this article mentions labels such as Matter, Client, Budget, Actual, Bills, or Recent flags, your firm may use a different label for the same field.
The Dashboard
The dashboard gives you a configurable table view of live matter data. Use it when you want to scan performance across a portfolio, find matters that need attention, or prepare for billing and follow-up conversations.
The dashboard includes views for:
- Matters.
- Clients.
- Matter Groups.
- Partners, for manager users.
Use the view switcher to move between these views. Each view helps answer a different question: which matters need attention, which clients carry the most exposure, which matter groups need coordination, or how partner portfolios are performing.
Reviewing Matters
The Matters view is the main working view in Ayora Manage. It shows matter-level information in a table so you can compare work across clients, fee earners, budgets, billing status, and risk signals.
Use the dashboard to review:
- Matter and client details.
- Matter partner, oversight partner, client relationship partner, lead decision maker, and team fields.
- Recent flags and other risk indicators.
- Unbilled time, billed time, disbursements, and total unbilled WIP.
- Budgets, actuals, monthly budget values, and budget-related alarms.
- Bills, unpaid bills, last bill date, next bill amount, and billing cadence.
- Billing realisation, collection realisation, write-ups, and write-downs.
- Matter status, expected completion date, phase, and payment terms.
- Linked quotes, matter summaries, last message, and discount simulator controls where available.
Click a matter row or details control to inspect more information about that matter. Use visible action controls in the row to update fields such as budget, billing cadence, expected completion date, next bill amount, status, or team ownership where those controls are available.
Finding and Filtering Data
Use Search matters to find matters in the current dashboard view. You can also use filters to narrow the table by values such as client, partner, matter group, or financial thresholds.
The dashboard supports advanced filtering for more focused analysis. Use filters when you want to isolate matters with specific characteristics, such as a particular client portfolio, WIP range, budget position, billing status, or other matter attributes shown in the table.
Customising the Table
The dashboard table is designed for repeated use. You can adjust it to match the way you review matters.
You can:
- Sort columns.
- Resize columns.
- Reorder columns.
- Hide or show columns.
- Pin columns.
- Use condensed table settings.
- Select rows.
- Move through pages of results.
These settings help you create a view that is useful for your role, whether you are reviewing a small set of matters or scanning a broader portfolio.
Exporting Dashboard Data
Use Export when you need to work with dashboard data outside Ayora Manage. Exports produce CSV files for the selected dashboard data.
For matter exports, Ayora Manage prepares dashboard data such as budgets, billing cadence, next bill amount, and matter completion status where available. If some dashboard data cannot be fetched during export, Ayora Manage continues with the available data and shows a warning.
Performance Metrics
Ayora Manage can show high-level performance metrics above the main working area. These metrics provide a quick read on matter and portfolio health before you move into detailed rows.
Metrics can include:
- Lockup WIP or unbilled time days.
- Lockup debtor or debtor days.
- Billing realisation percentage.
- Collection realisation percentage.
- Opportunity cards, such as run rate mounting or readily billable matters.
Use these indicators to decide where to investigate first. For example, a high WIP or debtor position may point you toward matters that need billing, collection, or follow-up action.
Flagged and Monitored Matters
The dashboard is the main review surface. The Flagged and Monitored tabs support focused triage when Ayora Manage has identified matters that need attention.
Use Flagged to review matters with active triggers, such as debt, WIP, or budget-related flags. Matter cards show information such as the client, matter ID, total time booked, top timekeeper, and the trigger that needs review.
Use Monitored to keep track of matters that are being watched or followed up.
In these queues, you can:
- Search by matter, client, or ID.
- Use
#before an ID to search by matter or client ID. - Apply a date range.
- Sort by age.
- Group by lead timekeeper.
- Filter to all, debt, WIP, or budget flags.
- Hide silenced matters.
Taking Action
Ayora Manage lets users act on matter issues without leaving the product. Actions are available to Ayora Manage users and help turn a dashboard finding into a recorded follow-up.
The main action categories are:
- Triage alerts, including rescheduling a trigger.
- Update financial planning, including budgets, billing cadence, next bill amount, expected completion date, and matter status.
- Review time, WIP, and WIP alarms.
- Run discount simulation for one or more matters.
- Generate, view, or refresh matter summaries.
- Coordinate the matter team through delegation, collaborators, comments, and activity.
- Manage matter groups.
- Link quotes and review pricing context.
- Create draft client emails.
- Instruct write-offs where available.

The Ayora Manage Agent
The Ayora Manage Agent helps users search, analyse, and act on live matter data through natural language. It should be used alongside the dashboard: start with the dashboard when you want to scan and compare matters visually, and use the Ayora Manage Agent when you want help finding, analysing, or updating matters directly.
The Ayora Manage Agent can help with matter search and analysis. You can ask it to search live matters by practice area, department, matter status, or fee earner. You can also ask it to filter by WIP levels, budget thresholds, or specific matter characteristics, and to consolidate matters across teams or the whole firm according to your access.
It can help with WIP and time entries. You can ask it to review work-in-progress balances, analyse who is recording time, at what rates, and against which matters, or identify unusual WIP build-up and stalled time recording.
It can help with budgets and financials. You can ask it to check budget against actual hours and fees, identify matters that are over budget or at risk, and review billing realisation and profitability indicators.
It can help with alarms and risk flags. You can ask it to surface matters that have triggered budget alarms or risk thresholds, and to highlight delays, fee pressure, or other early-warning signals.
It can help with interventions. You can ask it to apply write-offs, discounts, or billing adjustments, record matter delays or scope changes with commentary, update matter assignments, or adjust fee earner allocations.
It can help with matter messages. You can ask it to send or review messages associated with specific matters, or to log intervention notes and updates for the matter team.
Recommended Workflow
- Start in the dashboard to understand the current matter position.
- Choose the view that matches your question: Matters, Clients, Matter Groups, or Partners.
- Search, filter, and adjust columns until the relevant matters are visible.
- Review WIP, budget, billing, realisation, status, and risk indicators.
- Open flagged or monitored matters when you need focused triage.
- Take the required action in Ayora Manage, or ask the Ayora Manage Agent to help analyse or update matters.
- Record follow-up messages or notes so the matter team can see what has changed.
Troubleshooting
If Ayora Manage is unavailable, confirm that your user account has Ayora Manage access.
If a dashboard view or tab is not visible, it may not be available for your role.
If a column label looks different from this article, your organisation or user settings may have customised the label.
If exported data is incomplete, check whether Ayora Manage showed a warning during export. The export may still complete with the data that was available at the time.
If a matter is not appearing in a search or agent result, check the filters currently applied and confirm that the matter is within your access.
